Dan,

I have heard your confession and assign you 5 Our Fathers and 5 Hail Marys…  No worries.  You are hardly alone.  Okay, let's get started…  If you are talking about "manually" entering all these contacts, then 10 a day with a phone call to each of them to verify information and say Hi! is definitely in order.  You'll probably shake a referral or two a week out of this activity alone.  However, I'm guessing some of these contacts (Outlook) are probably in a format that can be exported in Comma Separated Value format and imported into AgentOffice – see videos on exactly that topic. If you have a few dozen contacts in Outlook don't bother the export/import, but if we are talking hundreds, do it.

Here's a tip: Don't synchronize your phone with the Contact database in AgentOffice.  That's right.  I did it and have regretted it ever since.  I had 4500 contacts in my AO database over 15 years and I sure as heck didn't need all of them in my phone.  I would recommend only adding active clients into your phone (manually) and friends/family.  The sync process takes forever and I don't find it worth it.  However, you can sync the calendar in the phone to AO.  If you have a blackberry you can sync directly to AO.  If you have a smart phone you will need Intellisync software for $49 to do it and if you have an iPhone you will need the intellisync to sync AO to the calendar in Outlook and then follow instructions for synchronizing your iPhone to Outlook. 

Once you get everyone into AgentOffice you will be able to export the whole database or groups to a standard format that any other program can accept.

Jim, I have been a fan of yours since 2006 when I attended a Craig Proctor Seminar, purchased Agent office, got it set up and then committed the cardinal sin of not doing anything with it. I now have contacts in my phone, in Outlook, in an old Visor PDA, in files leaning against my office wall, in boxes full of closed files, you get the picture. Now I am motivated to input every one into AO, a daunting task that has me blocked by the sheer bigness of the project.

Do you have any suggestions for getting the input done? 10 entries a day? Realizing that there is $40,000 in commission income when all are in and re-contacted? Taking a week off to do it? Any proven motivational methods you are aware of?

A primary objective to getting this done is to notify everyone that I relocated after 15 years. Impact Marketing Specialists have some of my contacts too which is where I want a lot of these people to go for a direct mailing program. Once in AO, can a selected group be exported easily to Impact Marketing?
