Prospect while you Sleep with Top Producer 8i

Prospecting while you sleep may sound too good to be true, but it's not.  Building automated follow up action plans in Top Producer 8i, you can send out automated email campaigns to any contact in your database.

There are three steps you will need to take to generate business while you are sleeping:

1.Build powerful, realistic looking emails in the email library.  The goal of the emails need to be:

a.Get the email opened.
b.Receive a response from the email.

To get past the first filter, the subject line must catch the reader's attention.  An example of this would be: “Quick Question…” or “Can you please help me with something?”  These subject lines are enough to at least catch the contacts attention and hopefully open the email.

The next step is to get a response.  The only way you ever get a response is if you ask for it. 

Here is an example: 
Hello (First Name Merge Code),

I hope you are having a wonderful morning!  I just saw this great property come on the MLS yesterday and I thought you might want some info on it.  Let me know if you are still looking.

Take Care-

Simple, to the point and enough there to spark at least some level of curiosity if they are looking to buy a home. 

2.Build a detailed and highly aggressive action plan.  When building a follow up plan, I would recommend using both automated emails and calls, unless you only have one or the other. 

When creating the action plan in Top Producer 8i, be sure to check “send emails out automatically” at the very bottom after you have selected the email to add to the activity.  This will make the emails go out on their own, within the set time frame of the action plan.

3.Assign the action plan or create auto apply plan rules.  Once your powerful prospecting action plan is complete – now it is time to assign it to contacts.  In Top Producer 8i this can be done one of two ways. 

a.Assign plan to each contact.  When you are entering in a contact into Top Producer, you manually enter apply the plan to the contact.  This is a little more hands on approach.

b.Set up auto apply rule.  If you have your 1-800 number and website leads dumping into Top Producer (save entry time and can auto apply plan) you can set up a rule.  The rule can be set up from the lead summary page. 

You tell Top Producer whenever a contact dumps in from this source – they automatically go on this plan.  Meaning instant automated follow up.
